PRIMARY FUNCTION:
The operations coordinator will be responsible for providing support in the operation from the clerical activities of the warehouse, shipping/Delivery and the picking processes, ensuring that the processes are followed and providing the necessary training for the workforce.
Additionally, this person will be to enhance the overall logistics process (looking and giving follow-up to the vendors), contributing to streamlined operations, reduced expenses, and increasing customer satisfaction by ensuring products reach their destinations promptly and seamlessly.
Also, the position needs to ensure payments for all vendors.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Orientation and training follow up of new employees and overseeing the workflow of the distribution and warehousing area.
  • Carry on wave orders and replenish materials using the systems (SAP & Exacta) to ensure the distribution line order flow is continuous.
  • Communicate when a shipment is received in the warehouse and coordinate the counting and entry of the product.
  • Maintain KPI to monitor, report and analyze business activity regarding performance of the distribution center in terms of quality, delivery, and cost with the following goals in mind:
    • To ensure that processes are documented and updated as necessary.
    • Follow-up, in daily basis with UPS for Deliveries, claims and In-transit orders (Late, pending/missing information).
    • Streamline efficiencies.
  • Ensure employees in the various distribution line areas (induction, stocking, pack out, kitting) have the essential supplies and materials to successfully complete their jobs.
  • Create PRs for the vendors according to the invoices received by PMs and Extemporaneous services.
  • Payment follows up with Finances department and reviews the POs pending payment.
  • Evaluating the performance of partners and vendors, negotiating contracts, and ensuring compliance with agreed-upon terms.
    • Tracking receipt compilation file.
  • Lease with third-party vendors in relation to execution of internal office operations regarding vendor selection efficiencies or preference.
  • Follow up on a daily, weekly and monthly basis the KPIs implemented in the workshop.
  • Maintain appropriate stock of office supplies
  • Report to finance all expenses to be accrued in every close month.
  • Performs all other duties as assigned by the supervisor.

QUALIFICATIONS:
EDUCATION:  Bachelor’s degree
EXPERIENCE:  1-3 years of experience in picking and warehousing process handling inventory, ERP Systems, and operative personnel management. Must be able to identify, analyze and assess efficiencies in current processes and procedures and make the necessary modifications.
SKILLS:   Detail-oriented, exceptionally organized, able to manage complex systems.
Must have excellent communication, organizational and problem-solving skills. 
 Ability to work independently with overall guidelines.     
OTHER:  Bilingual English/Spanish is a must.
